2008 Ministry Fair (April 12-13) & Time & Talent (April 19-20)
This page is to provide our ministry leaders with the latest details regarding the upcoming Ministry Fair as well as Time & Talent Weekend.

Time & Talent Signup Form
The database will be purged this time so if people don’t indicate that they are active or interested during the signup, they won’t show up on your ministry list. If you use this list for updates on your current members contact information, you may want to ask your members to be sure to fill one out and indicate they are active. I have spoken to Deacon Dennis about getting e-mails and best time to contact on the list as well since there are spaces on the form.
Please confirm if you wish for your ministry to be listed in the sign up sheet as I know of at least one ministry that is limited in enrollment. If you do not plan to use the ministry list to recruit new volunteers, it probably shouldn’t be listed since the folks that sign up will be expecting to be contacted.
Ministry Fair Overview
The ministry fair will be held at the Pavillion after the Saturday 5 PM, and Sunday 7:30 AM, 9:30 AM, 11:30 AM, 1:30 PM and 5 PM masses on the weekend of April 12th in the pavilion. Through the announcement or insert, we will be asking the Sunday 7 PM attendees to attend the fair before mass.
Setup
On Saturday we will need to have all ministries in place by 6PM for the aftermass crowd, so you should probably show up by 5:30 pm to setup. Volunteers to help setup the tables for all of the ministries will also be needed. If you can help us setup tables, please show up by 4:00 PM. Tables will be left in their current spots overnight, assuming good weather.
On Sunday, those present for the Spanish masses will need to be setup by 8:30 AM. English only ministries will need to be setup by 10:30 AM.

Raffle
There will be a raffle for a $50 gift cards at each session. The raffle will have several questions pertaining to different ministries. To enter, the parishioner will need to correctly answer any 3 of the questions on the form to be in the drawing. To be included in the raffle questions, the ministry must provide a question and have the answer displayed prominently on their table.

- "How many people are visited by the Nursing Home and Homebound Ministers every week?"
About 40 to 70. - "In what year was Catholic Daughters founded?"

Your question should have the person think "Wow, I didn't know that!" about your ministry. You want to impress them with the answer.
Food
The "Amigos en Cristo" youth group will be selling breakfast after the 7:30 and 9:30 am masses and selling lunch after the 11:30 and 1:30 PM masses. Another ministry has expressed interest in providing food after the 5PM masses.
Inflatable Playscape
We are checking into renting an inflatable play area for the kids on Sunday. We will also need volunteers to man the inflatable. Please contact Azucena if you can help with this.
Music
This option is being investigated. If you know of anyone who might be interested in providing entertainment please contact azucena [at] rockover [dot] com.
Signage
The "Amigos en Cristo" youth group will be directing people to the pavillion after all masses except for the 5PM Saturday and Sunday masses. We are seeking volunteers to assist with these two.
Requesting a Spot at the Ministry Fair
We will be using 8 foot wide tables at the fair. You may request either a 1/2 or whole table. If you have some special "exhibit" for your ministry, for example, a boy scout demonstration, you may make a special request for space. Also, it would be helpful to know if you would rather be in front of your table or behind it.
Note that this will be an open air venue, so you may have to contend with wind or rain, especially on the edges. All ministries which have a spot will be expected to man their spot for all of the English and/or the Spanish masses.
Once we get a count of the number of ministries requesting a spot and the amount of space needed, a layout of the tables will be available online. Preference will be given to ministries that will man their tables at ALL of the English and Spanish masses. Note that last year during Time & Talent signup, that we had several English forms turn up during the Spanish masses and visa versa so you might consider committing to being there for all of the masses.

- Ministry Name
- Contact for Ministry Fair (e-mail & phone number)
- Space required. If you don't need the whole 8 foot table, please request only a half table. Also, will you be manning your table behind it or in front. Ministries that use the science fair type displays will probably want to be in front of their table. This information will help us make certain we have enough clearance for you to get to your table.
- Time slots your table will be manned (English, Spanish or All Masses)
- Optional Raffle Question (see Raffle for more information)
- Special requests, for example, you need to be share with another ministry in order to be able to man the table.
- Volunteer names and timeslots to stuff pews with Time & Talent forms on the following weekend (see below).
Volunteers will be needed to stuff the pews with signup sheets before ALL masses. With 3-4 people this can go quickly. With only one person, this will go very slow.
After Time & Talent Weekend
Deacon Dennis will need a few weeks to enter the data into the database. The lists will then be e-mailed or mailed to you based on our contact information, so please be sure your ministry has the correct contact information.
