Executive Assistant

Job Description: 

Saint William is the largest Catholic Church in the Austin diocese with over 6,600 registered families, a multi-million dollar budget, 50+ part time and full time staff on 30 acres of property. We are a vibrant, growing parish seeking a full time Executive Assistant who is a strong servant leader with the ability to work creatively in a fast paced environment. The Executive Assistant will use this position to strengthen and uphold the Pastor’s vision and become an effective member of the Saint William staff. 

The Executive Assistant will provide support and assistance to the COO and Pastor by helping with administrative tasks, special events, fund development, and communications. The Executive Assistant will help keep both the COO and Pastor in high priority activities by managing their schedules, email, phone calls, etc

Duties: 

• All duties as assigned
• Manage all day-to-day business functions for the COO and Pastor
• Help maintain COO and Pastor’s schedule, appointments, and tours 
• Arrange and coordinate meetings, conference calls, events, and travel 
• Interact with internal & external constituents such as parishioners, donors, sponsors businesses
• Record, transcribe and distribute meeting minutes 
• Assist with budget and paperwork such as submitting reimbursements 
• File and retrieve documents and reference materials 
• Conduct research, and collect and analyze data to prepare reports and documents 
• Prepare and edit correspondence, communications, presentations and other documents 
• Prepare personal letters of invitation, thanks, explanation, information and cultivation 
• Act as a liaison with staff at all levels 
• Help maintain donor database 
• Oversee special projects 
• Availability to work evenings and weekends as needed 

Knowledge, Skills, and Abilities: 

• Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite, Publisher
• Knowledge of standard office administrative practices and procedures
• Organizational and planning skills 
• Strong written and verbal communication skills 
• Problem analysis and problem solving skills 
• Attention to detail 
• Ability to work independently or in a team setting 
• Ability to remain calm and flexible under pressure

Preferred Skills: 
• Knowledge of content management and email marketing systems 
• Knowledge of social media 
• Knowledge of philanthropy, fundraising, and/or charitable giving 
• Bilingual – Conversational Spanish 

Minimum Qualifications: 

Education and Trainings:
Bachelor’s degree preferred

Experience:
Minimum 3 years professional experience preferred
Experience as an Executive or Administrative Assistant preferred

Language:
Bilingual (Spanish), preferred


Licenses/Certifications:
• Must be certified in Diocese of Austin EIM within 60 days of employment and maintain certification throughout the employment period.
